The Oxford AI School delivers AI training for businesses across Southampton and Hampshire, from port and logistics operations to professional firms and independents. Sessions are hands-on from the first ten minutes, taught in plain English, and built around the tools your team already has: ChatGPT, Claude, Microsoft Copilot, Gemini and Perplexity.

Southampton runs on movement: freight, cruise, marine, distribution and everything that supports them. Businesses built around schedules and documentation have more repetitive written work than almost any other sector, and it is the first thing AI takes off people once they know how to ask.

We train logistics and freight forwarding teams, marine and engineering businesses along the water, professional firms in the city centre and Winchester, and the hospitality and retail operators who live and die by their bookings and their reviews. Most attendees save 10 or more hours per person every week once AI becomes part of how they work.

What your team learns

Real skills, used the same day.

Every Southampton session is hands-on and tailored to your work. This is the kind of thing your team walks out able to do.

Deal with the paperwork

  • Customer updates, quotes and exception emails drafted in minutes
  • Long contracts, schedules and terms reduced to what matters
  • Notes from a call or inspection turned into a clean record

Get value from your data

  • Question a spreadsheet in plain English, no formulas required
  • Automate the weekly or monthly report nobody wants to write
  • Turn repeat work into prompts the whole team can run

Use tools properly

  • Which of ChatGPT, Claude, Copilot, Gemini and Perplexity fits each task
  • What is safe to share with a public AI tool, and what never is
  • Quick checks so nothing incorrect reaches a customer
The tools

ChatGPT, Claude, Copilot, Gemini and Perplexity.

We work with the tools you already have licences for, and tell you honestly where a free tier will do the job.

ChatGPT

The everyday all-rounder. Projects, custom instructions, file analysis and the habits that keep it accurate.

Claude

Best for long documents, contracts and drafting where the detail carries risk.

Microsoft Copilot

The natural first step for Microsoft 365 businesses, inside your own security boundary.

Gemini

For Google Workspace teams, plus image and video generation for marketing.

Perplexity

Research with sources shown, for supplier checks, market work and tender background.

The two skills that matter

Prompt engineering and context management.

These are the skills that separate teams getting real value from AI from teams who tried it once and gave up.

Prompt engineering

Prompt engineering is four straightforward parts: role, task, context, format. Say who the AI should be, what you want, what it cannot guess, and the shape of the answer. We teach it quickly, then practise it against the paperwork your team brought with them until good output is routine.

By the end of the day your Southampton team has a small library of prompts that genuinely work, written down and shared, so the quality of the output stops depending on who happens to be doing the task.

Context management

Context management is what turns a clever tool into a dependable one. It covers what you load into a conversation, what you leave out, when to start fresh, and how to keep the terms, schedules and templates a tool works from current. In an operational business, working from last year’s version is the expensive mistake.

AI policy & governance

AI policy for Southampton businesses.

Your staff are already using AI. The only question is whether they are doing it inside rules you have written down.

Freight, marine and professional businesses handle customer contracts and commercially sensitive terms. Staff typing that into a chatbot with no rules in place is a risk your insurer would rather you had written down.

The AI Policy Workshop is a full day for up to ten people, in Southampton or online. You leave with your own written AI acceptable use policy: approved tools, permitted uses, the UK GDPR data red line, rules by department and named gatekeepers.

We also cover the governance side that boards and clients increasingly ask about: risk management, record-keeping, and how you would demonstrate that an AI-assisted decision was checked by a person. Our guides to AI governance, trustworthy AI and the NIST AI RMF and compliance, auditing and explainability set out the approach in full.

You leave with

  • A written AI acceptable use policy in your own words
  • An approved tool list, and a list of what is not approved
  • Your UK GDPR data red line, stated plainly
  • Rules by department, not one vague page for everyone
  • Named gatekeepers and a review date
