The description problem, and the line you cannot cross

Property copy is the obvious first use, and it is genuinely transformative: a well-set-up prompt turns a set of room dimensions and a handful of notes from the visit into a full draft in seconds, in your agency's voice, ready to edit. Agents who do this properly stop dreading the Friday backlog of write-ups.

There is one hard rule attached, and it is the reason we spend real time on this rather than just handing over prompts. A model will invent a feature to make a sentence flow. Ask it to write warmly about a property and it may cheerfully mention the south-facing garden, the recently replaced boiler or the excellent local schools — none of which you told it, all of which sound plausible, any of which could constitute a misleading listing. Descriptions have to be accurate and listings have to carry the material information buyers and renters are entitled to; a fabricated detail is a trading standards problem and a potential complaint, not a typo.

So the workflow we teach inverts the usual one. You supply the facts, the tool supplies the prose, and a human checks every factual claim against the file before it publishes. Done that way it is faster and safer than writing from scratch, because the checking step is explicit rather than assumed.

Where the hidden hours actually are

Most agencies assume the time sink is property copy. In practice it is communication volume. The same information reshaped for a vendor who wants reassurance, a buyer who wants specifics, a solicitor who wants dates and a landlord who wants numbers. Chasing. Confirming. Explaining a delay for the fourth time this week.

This is exactly the shape of work AI handles well, and it is where the session tends to spend the most time. Progression updates drafted from your notes. Applicant enquiries answered consistently rather than depending on who picked up. Viewing feedback turned into something a vendor can hear. Tenancy paperwork, renewal letters and compliance reminders produced from a template that no longer lives in one person's head.

The valuation pitch is the other high-value target. Comparable evidence summarised, local market context assembled, and a pitch document that reads as though it was prepared for that vendor rather than reheated from the last one — because it was.

Data, clients and what stays out

Estate agency runs on personal data: names, addresses, financial positions, sometimes rather sensitive circumstances behind a sale. That makes the boundary question unavoidable, and the answer is more practical than people expect.

Work in a tool with business terms you have actually read, know whether your provider trains on your inputs, and keep identifiable client and applicant detail out of consumer-grade accounts entirely. Most of the value — descriptions, standard communications, marketing, pitch material — needs no personal data at all once you get in the habit of stripping it out. We cover how to do that quickly, how to write it down so the whole office works the same way, and where your UK GDPR obligations sit when AI is involved in client correspondence.

AI for estate agents — frequently asked questions

Can AI write property descriptions for us?

Yes, and it is the fastest win in an agency: room dimensions and visit notes in, a full draft in your agency's voice out. The essential discipline is that you supply the facts and a human verifies every factual claim before publishing. Left to fill gaps, a model will invent a plausible feature — a south-facing garden, a new boiler — which is a misleading listing rather than a harmless embellishment.

Will AI-written listings get us into trouble with Trading Standards?

Not if the facts are yours and someone checks them. Listings must be accurate and must include the material information buyers and renters are entitled to, and that duty does not change because a tool drafted the words. The risk comes from publishing unchecked output. We build the verification step into the workflow, which is also why AI-assisted copy ends up more consistent than hand-written copy.

What should estate agents not put into AI tools?

Identifiable client and applicant personal data in consumer-grade accounts: names with addresses, financial positions, and any sensitive circumstances behind a sale or a tenancy. Most of the useful work — descriptions, standard communications, marketing, pitch material — does not need personal data once you are in the habit of stripping it out first.

Can AI help with lettings and tenancy paperwork?

Yes, and it is underrated. Renewal letters, compliance reminders, standard tenancy correspondence and property management updates are all repetitive, templated writing that currently depends on whoever knows where the last one is saved. We work on turning those into reusable prompts, so the office produces them consistently rather than reinventing each time.

Does this work for a small independent agency?

It tends to suit small agencies best, because there is no marketing department to absorb the writing and no back office to absorb the admin. A two or three-person branch usually sees the difference within a week, most often in property write-ups and vendor progression updates.

How much does the AI for Estate Agents session cost?

The half-day session for up to 8 people is £2,299 +VAT live online or in person at your office. Takeaway materials and 30 days of follow-up support are included, and in-person delivery is a small difference rather than a travel surcharge.
