The short version
Gemini is Google's AI assistant, and it has one enormous advantage over the others: it already has keys to your house. If your working life runs through Gmail, Docs, Sheets and an Android phone, Gemini is the houseguest who also happens to be a Google employee.
It used to be called Bard, which nobody warmed to, so Google quietly changed the name and got serious. Today it is genuinely good, especially if you already live inside Google's world. If you do not, its main selling point matters a great deal less.
Gemini at a glance
- Made by: Google
- Best for: anyone who lives in Gmail, Docs, Sheets and Android
- Personality: the capable colleague who already knows where everything is filed
- Free version: yes, with a paid tier bundled into Google's subscriptions
- The one catch: Google puts the word "Gemini" on about ten different things, so you are never quite sure which one you are using
Google spent two decades being the place you went to find answers, then watched a chatbot from a smaller company become the thing everyone talked about at dinner. Gemini is Google's reply, and after a wobbly start under its old name, it has grown into something worth your attention, particularly if half your life already lives in a Google tab.
Here is what it is, where it shines, and the bit that will confuse you.
What is Gemini, in one sentence?
Gemini is Google's AI assistant, built to help you write, research, summarise and make sense of things, and increasingly woven straight into the Google apps you already open every day. It is a chatbot, a research helper and a little button inside Gmail and Docs, all sharing the same name.
What it is genuinely good at
Its superpower is location. Gemini sits inside the tools you already work in, so it can draft a reply in Gmail, tidy a document in Docs, or build a formula in Sheets without you copying a single thing from one window to another. It is also comfortable with very long documents, so handing it a forty-page report and asking for the three things that actually matter is well within its range. And because it is Google, it is at home pulling in current information from search.
Where it falls over
The confusion is the catch. Google has scattered the word Gemini across search results, a standalone app, your phone and your Workspace apps, and they do not all behave the same way or cost the same. Working out which Gemini you are talking to, and whether the good version is included in your plan, is more faff than it has any right to be. It can also be a touch cautious, now and then declining something its rivals would cheerfully attempt.
How to get the best from it
Use it where you already work
The standalone app is fine, but the real time savings come from calling Gemini up inside Docs and Gmail, next to the thing you are actually doing. That is where copying and pasting quietly disappears.
Feed it the long stuff
Reports, email threads, meeting transcripts, that policy document nobody has read. Long, dull, information-heavy input is exactly where it earns its place.
A good first job
Open a long document in Google Docs, call up Gemini in the side panel, and ask it to summarise it and pull out every action point. The penny tends to drop immediately.Gemini vs the rest: where it fits
ChatGPT is the famous generalist, Claude the careful writer, Copilot the Microsoft one. Gemini's pitch is refreshingly simple: if your day runs on Google, the AI that already lives inside Google will save you more time than the cleverest tool sitting in a separate tab you keep forgetting to open. Loyalty to the tools you already use is a perfectly sound reason to choose it.
So should you actually use it?
If you are a Google Workspace or Android household, yes, and quite possibly before you pay for anything else, since you may already have access without realising. If your world runs on Microsoft, or you want the strongest pure writing partner, it would not be my first pick. Try it where you already work, and see whether it earns its keep.

Already living in Google? Let us help you get more from it.
Most Google Workspace teams are sitting on AI they barely touch. We show people how to use Gemini on their real documents and inboxes, in plain English, with no assumed knowledge.
Gemini's greatest trick is not being the cleverest AI in the room. It is being the one already sitting in the room, inside the apps you never close. For most people who live in Google all day, that is worth more than a few extra IQ points in a tool they would have to remember to go and open.
