An agent takes a goal, makes a plan, uses tools, and carries out multi-step tasks with some independence, checking in when it needs to. Agents are more capable and more useful, and they need tighter guardrails.

"AI agent" is the phrase of the year, and it is often used to mean nothing more than a chatbot with a new coat of paint. The real difference is worth understanding, because it changes what you can hand over and how carefully you need to watch it.

What is a chatbot?

A chatbot responds. You type, it replies, and then it waits. ChatGPT in its basic form is a chatbot: brilliant at answering, drafting and explaining, but it does one turn at a time and it does not go off and do things on your behalf. It is a very capable assistant that never leaves the desk.

What is an AI agent?

An agent acts. You give it a goal rather than a single instruction, and it breaks that goal into steps, uses tools such as your email, a browser or a spreadsheet, does the work, and adapts as it goes. Instead of "write me an email", it is "chase the three overdue invoices", and it will draft, send and track them, pausing to check with you on anything sensitive.

Why does the difference matter?

Because the value and the risk both go up. A chatbot that gets something wrong gives you a bad sentence you can ignore. An agent that gets something wrong can send the bad sentence to a client. That is not a reason to avoid agents. It is the reason to give them narrow permissions and a human check on anything that counts.

Where do agents help a business today?

The sweet spot is repetitive, multi-step work with clear rules. Sorting an inbox and drafting replies. Chasing quotes and invoices. First-pass research pulled together into a brief. Updating a CRM after meetings. Turning one piece of content into versions for five channels. Useful, unglamorous work that quietly gives people their afternoons back.

What should you watch out for?

Ambition. Gartner expects over 40 percent of agentic AI projects to be scrapped by the end of 2027, and the cause is almost always over-reach rather than the technology: pointing an agent at a vague, high-stakes job with too much access and no oversight. Start small, keep a human on the important decisions, and widen only once it has earned trust.
